What is a cookie?

How do we use cookies?

This policy does not constitute legal advice or attempt to cover all situations that our Society may require. This policy is a starting point to develop policies that cover our precise needs and situation. The policy is based upon our best interpretation of current guidance that has been provided by a range of sources – including the ICO Information Commissioner’s Office.

2 The type of personal information we collect

We currently collect and process the following information:

  1. Personal identifiers (Name)
  2. Contacts (email address, phone number)
  3. Financial Details; (if necessary, derived from  purchases, donations etc.)
    • bank account and payment card details,
    • details about payments to and from an individual

3 How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  1. When you Log your interest
  2. So that we can Provide Newsletters
  3. So that we can Send you information
  4. When we Accept and Process Donations from you

We also use website cookies to track the use of our website, See cookie information below.

We do not intend to share this information with any third parties. If we do – we will tell you. For instance: the HSBC bank (CGPS account), the Charities Commission and also HMRC if you are a gift aid donor

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is :

  • Your consent. You are able to remove your consent at any time. You can do this by contacting:

  • We may have a legal obligation.
  • We need it to perform a public task (Gift Aid).
  • We have a legitimate interest.

5 How we store your personal information

Your information is stored securely and confidentially on a private computer.  We also use external service providers which have their own data protection policies. These sites store lists of names and email addresses for us eg Mailchimp and Googlemail.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to the Trustees and other third parties who have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality. We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so

We keep your personal information provided for 6 years after the date of when we cease our relationship with you. We will then dispose of your information by deleting your data completely unless we are obliged to keep it by the authorities e.g. HMRC. .

6 Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information.
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive whereupon we may refuse to comply with your request

7 How to complain

If you have  a complaint regarding how we have managed your personal information, or you feel your data has been breached, you can make a complaint to us at cgps2021@gmail.com.
